How to request a used truck export quotation you can compare
A useful quotation identifies the exact vehicle, destination and scope of supply. Send your operating requirements and request a written breakdown of included and excluded costs. Comparing headline vehicle prices alone can hide material differences.

Identify the vehicle and intended work
Send the product link or stock reference, preferred vehicle type and quantity. If you have not selected a vehicle, describe the cargo, typical journey, road conditions and required body or trailer. State specifications that are mandatory and those where an alternative is acceptable.
Ask for confirmation of the actual vehicle's year, configuration, condition and current availability. Reference photographs or a model catalogue should not be taken as confirmation of a particular unit. Include any inspection, documentation or equipment requirements in the enquiry rather than assuming they are included.
Give a destination and a realistic purchase window
Provide the destination country and port, and explain whether you need delivery beyond the port. Tell the seller if a local broker or freight forwarder will coordinate part of the shipment. A desired arrival date is a planning input, not a guaranteed sailing or delivery date.
Before selecting a truck, have a competent adviser check the destination's current import, age, steering, emissions, registration and documentation requirements. The requirements depend on the destination and can change. Do not assume that a vehicle available for export is automatically eligible for import or road use in your market.
State the destination and purchase window, then verify import requirements. A planning date is not a confirmed sailing or arrival date.
Ask for the named delivery term and a cost breakdown
Request the Incoterms rule, named place or port and edition that the parties intend to use. Ask the seller to explain the responsibilities that apply to the actual quotation. Abbreviations such as FOB or CIF should not replace a detailed written scope.
Vehicle price and any agreed refurbishment or accessories.
Inland transport and handling included in the offer.
Export documentation and clearance responsibilities.
Freight basis, shipment method and any insurance included.
Destination charges, import duties, taxes and inland delivery that are excluded.
Currency, quotation validity and circumstances requiring a revised offer.
Compare offers on the same basis. A lower vehicle-only price and a broader shipping offer are not directly comparable. Request clarification for unspecified costs instead of treating a blank line as a zero charge.
Put inspection and payment conditions in writing
Ask what inspection can be arranged, who pays for it and how the vehicle identity and results will be recorded. Request the available photographs, videos and condition report for the specific unit. Agree how any repair commitments will be verified.
Confirm the contracting seller, invoice details and payment instructions through an independently verified contact channel. Treat an unexpected change of beneficiary or bank details as a reason to verify again before paying. Agree payment stages and conditions in the contract; this article does not prescribe a payment method or substitute for legal advice.
Agree on inspection evidence and payment conditions in writing. Independently verify the seller and any change to bank details.
A concise enquiry template
We are enquiring about [product link or stock reference], quantity [number]. The intended work is [cargo, route and operating conditions]. Destination: [country and port]. Required specifications: [confirmed requirements]. Please confirm current availability, vehicle-specific condition evidence, inspection options, document scope and a written quotation showing the named delivery term, currency, validity, included costs and exclusions. Our preferred purchase window is [date range], subject to verification.
Replace every bracketed field with your own information. Do not send identity documents or banking details in an initial general enquiry unless there is a verified business need and an appropriate channel.
